This guide is used by the cataloging department of Mississippi State University for internal RDA training. It includes resources and local policies that will be of interest to the Mississippi Library Partnership.

  • Add GMD
  • Add subtitle if missing from 245
  • Apply AACR2 capitalization standards to title

Summary of Policy for AACR2 Records

  • Replace Latin abbreviations with RDA phrases
  • Spell out abbreviations in 300 and 504
  • Convert relator codes ($4 edt) to relationship designators ($e editor)
  • Do not add new relationship designators if they’re lacking

Unless otherwise stated, assume that every guideline in this document pertains to RDA records only. Look for AACR2 Copy Cataloging Policy notes in blue boxes to see when you can add RDA elements to AACR2 records.


 

Identifying an RDA record

Look for these signs:

040 $e rda

Desc in the fixed field coded “i”

336, 337, 338 fields

 

Latin abbreviations – Not used in RDA records.

Make sure $b eng $e rda is included in this field. If the record contains other RDA elements like 33X, Desc “i”, and spelled out abbreviations, but lacks the 040 $b eng $e rda, notify a monographic cataloger.

AACR2/RDA Policy:

Control the heading to make sure it matches the authority file. If it does not, notify one of the monographic catalogers. Also inform a monographic cataloger if the following abbreviations appear in the name heading:

Relationship designators

Also known as relator codes under AACR2. These appear in $e of a 100/700 heading. Accept them as-is in RDA records. Don't add relationship designators if missing.

AACR2 Copy Cataloging Policy: Do not add relationship designators to AACR2 records if they’re absent.

GMD – Add GMD for electronic resources, videorecordings, sound recordings, etc.

Supply subtitle if missing

Capitalization – Ensure capitalization follows AACR2 standards. Under RDA, titles in the 245 may be capitalized exactly as they appear on the chief source. Some RDA records may have titles in all caps, mixture of lower and upper case letters, and other anomalies. Change capitalization to AACR2 standard for the following cases:

Edition statement should be transcribed exactly as it appears. While abbreviations are not allowed under RDA, they must be transcribed in the 250 if they appear in the edition statement. If the 250 in the record includes an abbreviation, double-check the edition statement in the book for accuracy. The 250 is a repeatable field under RDA, so two 250s are OK.

Under RDA, the series statement is transcribed exactly as it appears on the source. If the series volume/sequential designation on the piece is abbreviated, such as vol., no. or bk., it should appear as such in the 490 $v. If the record contains abbreviations in $v (v., bk., ser., etc.), but these are spelled out in the source, correct the 490 with the spelled out words. In the 490, volume numbers are transcribed as they appear on the source (including Roman numerals).
