Scholars Junction: How to Submit Most Items

A step-by-step guide to submitting normally-sized files (or small groups of files) via the Scholars Junction web interface.

Introduction

Normally-sized files (2gb or smaller) or small groups of files can be submitted to Scholars Junction via the web submission form.

You can submit larger files, or large groups of files, via back-end batch import - learn how.

Before you begin

Step 2: Log in

If you haven't already logged in, you'll be brought to the login page. (No account? Learn how to create one.)

Step 3: Read and accept the submission agreement and license

Our license grants us the right to reproduce your submission; modify the file (but not its contents) for security, backup, and preservation; and distribute it worldwide for non-commercial, research, educational, or related academic purposes only. You retain all of your rights, including the right to deposit your work in another repository if you wish (or if your funder requires a specific repository).

Step 4: Complete the submission form

The submission form may differ between collections. Here are some of the most common fields you might be asked to complete.

Note: It is very important to provide as much metadata as possible in the form!

Robust metadata makes a huge difference in users' ability to find your item.

The Title field is always required. Enter the title in Sentence Case. Do not use all caps.

For yourself or coauthors who are affiliated with MSU, start by searching for their name - there may already be work associated with that name in Scholars Junction, and this increases the accuracy of your readership reports.

You can click the green + button to add more than one author. Please enter their names, emails, and institutions.

Add links to your ORCID page and those of your coauthors, one per line. (About ORCID)

The Document Type field is required - this field helps us understand what preservation and indexing methods to use. It also tells the system how to allow your item to be downloaded.

While the Abstract field is not required, it is vital to ensuring that your work is found in relevant search engine results.

If your item is not a traditional publication for which you've already written an abstract, use this field to describe it. Be as thorough as you can.

If this item has already been published elsewhere, enter information about the publication - title, publisher, volume and issue, and if it was paginated, first and last page.

If your item has been published elsewhere and has a DOI, add it here.

(If you don't have a DOI and need one, you can request it once your item is published. Complete the contact form at https://ask.library.msstate.edu/scholcomm; be sure to include a link to the item that needs the DOI.)

Include information about any specialized software required to open and use your files.

We need to know how you and your coauthors are affiliated with MSU. Add any college, department, research center, or administrative office with which you are affiliated.

Enter as many keywords as possible to help your target audience find and understand your work. Separate key words or phrases with commas.

Indicating appropriate Disciplines for your work connects you to the Digital Commons Network, a subject-based search tool for materials in Digital Commons repositories worldwide.

There are several ways to upload your primary file.

  • Upload file from your computer
    A standard file upload.
  • Import file from remote site
    If the file is published elsewhere, you can copy and paste in the link to the file and Scholars Junction will import it.
  • Link out to remote site
    If the file is published elsewhere and you are relatively sure that it will remain stable, or you do not have permission to upload the item to another repository, you can add a link. Users will be sent to the other site to download the file.

You can add multiple files to a single item record - for example, if you have an article plus an accompanying dataset or other supplemental files. Check this box and you'll be prompted to upload the rest of your files.

Once everything's filled out to your satisfaction, click Submit. Depending on how large your files are, this may take a moment, so do not close the window or leave the page until the submission completes.


Step 5: Await approval and posting

Your submission will trigger a notification to the Scholarly Communication Team. A team member will review your submission to ensure that all the metadata is correct and that your files work. Once they're satisfied, they will approve and post your item, and update the site so that your submission appears publicly. You'll receive a notification when the item is posted.

This process usually only takes a few hours, but please allow up to a day for completion.
