About

This process will help guide MSU Libraries faculty and staff through the process of generating and registering DOIs for materials in Scholars Junction.

See a step-by-step PowerPoint presentation of the entire process.

You will need:

Get your metadata

Go to Scholars Junction and log in. Go to the collection that contains the items you need to assign DOIs, and navigate to the Manage screen.
In the sidebar, click "Batch revise Excel." Generate and download the spreadsheet. (This may take a long time for some collections.)
Save that spreadsheet. This is Spreadsheet A.

Get your items' citations

Open an item's document (usually pdf). Find the item's list of references or citations. (Keep track of how many citations there are, and which of the items you're dealing with has the most citations. This matters later.)

Copy and paste the citations/references into a new spreadsheet. Save it. This is Spreadsheet B.

You'll probably need to do a little cleanup here. Your ultimate goal is to have a single row with this pattern: citation, DOI (or blank cell), citation, DOI (or blank cell). The DOIs should only include the suffix, not the web prefix; they should look something like 10.4155/bfs.10.80.

Repeat for each item.

Prep your metadata

Open the CSV2DOI tool by going to http://csv2doi.library.msstate.edu/. Go to the Help page.

Identify the item in your batch that has the largest number of citations, and enter that number in the "Enter the number of citations" box. Then download the correct template for your items.

Save it. This is Spreadsheet C.
Add all the relevant information from Spreadsheet A to Spreadsheet C. All of the columns should have values in them, except "doi" and all of the "unstructCitation" and "unstructDOI" columns.
Go back to Spreadsheet B. Copy all of the citation/DOI columns into Spreadsheet C, starting in the "unstructCitation1" column.
Spreadsheet C should now have values in every field except "doi".

Generate DOI suffixes

Use Crossref's DOI suffix generator to create DOIs for your items, as many as you need.
Add the new DOIs to Spreadsheet A.
Use the information from Spreadsheet A to populate Spreadsheet C.
You'll also need to add the DOIs to the master DOI spreadsheet, along with their items' title and Scholars Junction link.

Generate Crossref XML

Use CSV2DOI to convert Spreadsheet C to XML:

  1. Select your datatype.
  2. Enter a batch ID. This can be any word or number you like.
  3. Enter your name.
  4. Enter your email. (Success/error reports will be sent here.)
  5. Registrant should always be "Mississippi State University Libraries."
  6. Upload Spreadsheet C.
  7. Click "Convert to XML."

Submit to Crossref

Log into the Crossref DOI management tool. In the Home tab, click "Upload submissions."
In the Submissions > Upload tab, the "Metadata" type should be selected. Click "Choose File" to select your new XML file, and then click "Upload."

Update records in Scholars Junction

Use the batch revise function in your item's management screen to upload Spreadsheet A.

When the upload is complete, in the sidebar, click "Update ir_[collection]". This can take a while to finish, as you have just entered the global update queue.

Visit the collection's public page later and check a few items to make sure everything worked.
